1. INTRODUCTION

This PAIA Manual provides a reference guide for members of the public to understand what information Arkeo Cyber (Pty) Ltd holds and how to request access to such records in terms of PAIA.

It also outlines how personal information is processed in accordance with POPIA.

4. CATEGORIES OF RECORDS AVAILABLE WITHOUT REQUEST

The following records are automatically available without requiring a formal PAIA request:

  • Company website information

  • Marketing materials

  • Public statements and press releases

  • Policies explicitly marked as "public"

5. RECORDS HELD BY ARKEO CYBER (PTY) LTD


Records are classified according to business function:

Arkeo Cyber processes the following categories of personal information:

  • Identification details

  • Contact information

  • Billing and financial information

  • Device, network, and cybersecurity telemetry

  • Records of communications with the company

  • Employee and contractor personal data


6. PROCESSING OF PERSONAL INFORMATION (POPIA COMPLIANCE)

Arkeo Cyber processes personal information for:

  • Client onboarding and KYC

  • Account management and billing

  • Cybersecurity monitoring and MDR services

  • HR and payroll administration

  • Legal and regulatory compliance

Data Subjects Include:

  • Clients

  • Employees

  • Contractors

  • Suppliers

  • Website visitors

Data Subject Rights:

Individuals may request:

  • Confirmation whether data is held

  • Access to their personal data

  • Correction or deletion of inaccurate data

  • Withdrawal of consent (where applicable)

Requests must be made to the Information Officer using the prescribed POPIA/PAIA forms.


7. HOW TO REQUEST ACCESS TO RECORDS

Requests must comply with Section 53 of PAIA and must be submitted using Form 2 (Request for Access to Record).

Mandatory Requirements:

Your request must include:

  1. Full name and identification or registration number

  2. Proof of identity

  3. Contact information

  4. Detailed description of the records requested

  5. The form in which access is required

  6. Proof of payment for the request fee (if applicable)


8. FEES PAYABLE

Fees are determined by the Information Regulator.

8.1 Request Fee

A request fee is payable before the request is processed (except for personal information requests).

8.2 Access Fee

An access fee may be charged for:

  • Reproduction of documents

  • Search and preparation time

  • Postage or electronic delivery

A deposit may be required if the preparation time will exceed six hours.


9. GROUNDS FOR REFUSAL OF ACCESS

The company may refuse access in terms of PAIA if disclosure would involve:

  • Unreasonable personal privacy of a third party

  • Harm to commercial confidentiality

  • Harm to safety or security

  • Legal privilege

  • Protection of confidential research

  • Access prohibited by law or contract

Reasons for refusal will be provided in writing.

11. UPDATES TO THE MANUAL

Arkeo Cyber reviews this PAIA Manual annually or when business/legal changes occur. The latest version will be maintained on the company website.
